About the Role

We are looking for a detail-oriented Administrative & Operations Support professional to keep things running smoothly across our multi-brand technology ecosystem. This role touches every part of Elona Group, including Elon Designs, Cloudelona, Elonmart, Elona POS, Elona CRM, and SasaLearn Academy.

You’ll work directly with leadership to keep projects moving, clients taken care of and teams on the same page. If you’re the type who spots what needs to be done and handles it before anyone has to ask, we want to hear from you.

Key Responsibilities

General Administration

  • Manage day-to-day administrative operations across all Elona Group brands
  • Organise and maintain digital files, records, contracts, and internal documentation
  • Handle correspondence, scheduling, and calendar management for leadership
  • Prepare reports, presentations, and internal communications as needed
  • Manage office supplies, vendor relationships, and operational logistics

Client & Project Coordination

  • Be a go-to point of contact for client communications and follow-ups
  • Track project timelines, deliverables, and milestones across brands
  • Coordinate between internal teams (design, development, marketing) and clients
  • Handle onboarding of new clients and keep existing client relationships solid
  • Flag blockers and at-risk deliverables before they become problems

Finance, Invoicing & Operations

  • Prepare and send invoices, track payments, and follow up on outstanding balances
  • Maintain accurate financial records and assist with basic bookkeeping
  • Coordinate with accountants and financial service providers
  • Monitor subscriptions, renewals, and recurring operational costs across brands
  • Support budgeting and expense tracking for projects and campaigns

Team & Client Management

  • Coordinate team schedules, meetings, and task assignments
  • Help with hiring and onboarding when we bring on new team members
  • Keep tabs on team performance and deliverables, and flag issues early
  • Maintain client records in Elona CRM and ensure data is accurate and up to date
  • Support leadership in operational decision-making with data and insights

Requirements

  • 2+ years of experience in an administrative, operations, or executive assistant role
  • Strong organisational skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • Proficiency in Google Workspace (Docs, Sheets, Calendar) and/or Microsoft Office
  • Experience with project management tools (Trello, Asana, Notion, or similar)
  • Basic understanding of invoicing, bookkeeping, or financial administration
  • A proactive, self-starting mindset. You don’t wait to be told what to do
  • Comfortable working in a fast-paced, startup-style environment

Nice to Have

  • Familiarity with CRM platforms (we use our own Elona CRM)
  • Experience in a digital agency, tech company, or multi-brand business
  • Understanding of hosting, domains, or SaaS products
  • Interest in entrepreneurship and building scalable business systems
